For most small support teams, Zoho Desk gives the most for the money, with a free plan for three agents and paid plans priced in rupees. If your team lives in email and wants something simpler, Help Scout is the easiest helpdesk to adopt and is free for up to five users. Teams that want to stay inside Gmail should look at Hiver, and teams that answer most questions through website chat will get better value from Crisp’s flat workspace pricing.
A small team doesn’t need the deepest feature list. It needs a tool that stops emails being missed or answered twice, shows who owns each conversation, and costs a predictable amount as you add one or two people.

Prices are before tax. Annual billing is cheaper on most tools, so check which billing period a price assumes before comparing.
How We Help You Choose the Right Support Tool
We evaluated each tool using official pricing, product documentation, profiles, and independent user reviews. We did not conduct hands-on testing. Our assessment covered ticket management, multichannel support, automation, knowledge bases, reporting, and SLA tracking. We also compared setup effort, collaboration, free-plan limits, per-agent pricing, AI costs, and migration support.
Our goal is to help small support teams (2–15 agents) choose a tool that fits their workflow, budget, and growth plans without paying for features they won’t use.
What a Small Support Team Actually Needs
Before comparing tools, it helps to be clear on the basics. Most small teams need a shared inbox or ticket queue, assignment so every conversation has an owner, saved replies for common questions, a simple help centre, and basic reporting on response times. Live chat, WhatsApp, phone and AI resolution are useful, but they’re often what pushes a tool into a much higher price tier.
If your team handles fewer than 20 conversations a day and only uses email, a shared inbox tool may be enough. Once you need SLAs, several channels or a public knowledge base, a proper helpdesk pays for itself.
Best Value Helpdesk Software’s/Tools
1. Zoho Desk: Best Overall for Small Teams
Zoho Desk covers email ticketing, social channels, web forms, a knowledge base and workflow automation, with Zia AI on higher plans. Its free plan includes three agents, which is enough for a small team to run real support rather than just test the product.
Paid plans are priced in rupees on annual billing: Express at ₹420 per agent a month, Standard at ₹800 and Professional at ₹1,400. That makes it far cheaper than most US-priced tools for Indian teams. The trade-off is setup effort, and live chat only arrives on Enterprise at ₹2,400 per agent, so chat-heavy teams should price that jump early.
2. Desku: Best for Tight Budgets
Desku prices by workspace, not by agent. Its Growth plan costs US$39 a month and includes six agents, which works out to about US$6.50 per agent, far below per-seat helpdesks. The free plan covers two agents with a shared inbox and chat widget.
The catch is AI and channels. Meaningful AI automation needs the Eva AI token add-on, and WhatsApp and full social channels are only on the Business plan. For a small team that mainly needs email and chat, it’s hard to beat on cost.
3. HelpDesk: Best for Simple Ticketing
HelpDesk (helpdesk.com) keeps things straightforward: tickets, priorities, automated assignment, canned responses and unlimited tickets on every plan. Essential costs US$19 per user a month on annual billing (US$25 monthly) and includes 10 AI resolutions a month.
The jump to Growth is steep, at US$79 per user, so it’s best for teams that are happy with core ticketing and don’t need supervision tools or heavy AI use.
Best for Email-First Teams
4. Help Scout: Easiest Helpdesk to Adopt
Help Scout looks and feels like a shared email inbox, which is why small teams pick it up quickly. Customers get normal-looking emails rather than ticket numbers, and agents get assignment, notes, saved replies, a help centre and reporting.
The free plan covers up to five users, one inbox and one help centre, with a limit of 100 contacts helped a month. Standard costs US$25 per user a month and Plus US$45, with an annual discount. AI Answers is billed separately at US$0.75 per resolution, with a monthly spending cap you can set.
5. Hiver: Best for Teams Working in Gmail
Hiver turns Gmail into a helpdesk, so agents keep working in the inbox they know while getting assignment, status tracking, collision alerts and reporting. It suits teams that resist moving to a separate tool.
The free plan supports unlimited users with basic ticketing but no workflows, analytics or AI. Growth costs US$25 per user a month on annual billing (US$35 monthly) and adds automation, analytics and AI. If you’re on Google Workspace and only need light structure, also look at Gmelius or Drag.
6. Freshdesk: Best Classic Ticketing That Scales
Freshdesk is a mature ticketing system with automations, a customer portal, a knowledge base and Freddy AI. Growth costs US$19 per agent a month on annual billing, Pro US$55 and Enterprise US$89, after a 14-day trial. There’s no permanent free plan now.
AI is the cost to watch. Each plan includes 500 AI Agent sessions, extra sessions cost US$49 per 100, and Freddy Copilot is US$29 per agent a month on Pro and above. For teams that want familiar ticketing and room to grow, it’s a safe choice.
Best for Chat-First Support
7. Crisp: Best Value for Live Chat
Crisp starts with website chat and adds email, WhatsApp, Instagram and Messenger in one inbox. Pricing is per workspace: the free plan includes two seats, Mini costs US$45 a month for four seats, and Essentials US$95 a month for ten seats with a knowledge base, routing and the omnichannel inbox.
For a chat-heavy team of five to ten people, that flat fee is usually much cheaper than paying per agent. Dedicated ticketing only arrives on Plus, so email-heavy teams may find it less structured than a classic helpdesk.
Best for Growing or Specialised Teams
8. Zendesk: Best If You Expect to Grow Fast
Zendesk has the deepest workflows, reporting and integration marketplace here. Support Team costs US$19 per agent a month on annual billing for email ticketing, but chat, messaging and voice need Suite Team at US$55 per agent.
For a small team, Zendesk is often more than you need today. It makes sense if you’re planning to grow quickly, need advanced routing soon, or already rely on apps that only integrate with Zendesk.
9. Jira Service Management: Best for Internal IT and Ops Requests
If your “support” is mainly employees asking IT, HR or operations for help, Jira Service Management is free for three agents and US$20 per agent a month on Standard. It’s especially useful if your developers already use Jira, since tickets can link straight to engineering work. It’s less suited to customer-facing support for a small business.
Also Worth Considering
FreeScout is a free, open-source helpdesk and shared mailbox you host yourself. It runs on standard PHP and MySQL hosting, with optional paid modules, and suits technical teams that want no per-agent fees.
Missive is a collaborative inbox for teams handling email, SMS and WhatsApp together, from US$14 per user a month.
Intercom is the strongest AI-first option, with its Fin AI agent charged per resolution on top of seats. It’s usually priced for funded SaaS companies rather than very small teams.
Kommunicate puts an AI chatbot in front of Zendesk or Freshdesk if you want automation without switching helpdesks.
SparrowDesk is a newer, lesser-known helpdesk with a usable free plan for three users and 500 conversations a month. Starter costs US$16 per agent a month, and its AI agent is priced at US$0.49 per resolution, one of the lowest rates here. It’s worth a trial if you want modern ticketing at a lower per-agent price.
eDesk is built for online sellers. It pulls orders and messages from Amazon, eBay, Walmart, Shopify, WooCommerce and other channels into one inbox, from US$39 per agent a month on annual billing for one connected store.
Gorgias is the Shopify-focused option, priced by monthly ticket volume rather than per agent, with an AI agent charged only when it resolves a conversation. Check the current ticket tiers on its pricing page.
What Five Agents Actually Cost Per Month
| Software | Plan for 5 agents | Monthly cost |
|---|---|---|
| Desku | Growth (up to 6 agents) | US$39 |
| SparrowDesk | Starter | US$80 |
| Zoho Desk | Express / Standard, annual | ₹2,100 / ₹4,000 |
| Crisp | Essentials (up to 10 seats) | US$95 |
| Freshdesk | Growth, annual | US$95 |
| HelpDesk | Essential, annual | US$95 |
| Zendesk | Support Team, annual | US$95 |
| Jira Service Management | Standard | US$100 |
| Help Scout | Standard | US$125 |
| Hiver | Growth, annual | US$125 |
These figures exclude tax and AI add-ons. Two seat models drive very different costs: per-workspace tools like Desku and Crisp stay flat as you add agents, while per-agent tools rise with every hire.
Free Helpdesk Plans Compared
| Tool | Free plan covers | Main limit |
|---|---|---|
| Help Scout | Up to 5 users | 100 contacts helped a month, 1 inbox |
| SparrowDesk | 3 users | 500 conversations a month, 1 inbox and widget |
| Zoho Desk | 3 agents | Basic ticketing, little automation |
| Jira Service Management | 3 agents | Built for internal requests |
| Hiver | Unlimited users in Gmail | No workflows, analytics or AI; Hiver watermark |
| Desku | 2 agents | 1 inbox and chatbot, limited AI |
| Crisp | 2 seats | Chat and shared inbox only |
| FreeScout | Unlimited, self-hosted | You run the server and updates |
How AI Pricing Changes the Bill
Most helpdesks now charge for AI separately from seats, and the models differ. SparrowDesk charges US$0.49 per AI resolution and Help Scout US$0.75, Freshdesk sells extra AI Agent sessions in packs of 100 for US$49 plus a per-agent Copilot fee, HelpDesk includes a fixed number of AI resolutions per plan, and Desku sells AI as a monthly token add-on.
Before turning AI on, count how many conversations are simple, repeatable questions such as order status or password resets. Those are where AI resolution saves money. If most of your tickets need judgment, a per-resolution fee adds cost without much benefit.
Reports Worth Setting Up From Day One
Most helpdesks include these reports, but few teams turn them on early. Tracking them from the first week gives you a baseline to judge whether the tool, AI or a new hire is helping.
- First response time, by channel
- Time to resolution
- Ticket volume by channel and topic
- Customer satisfaction (CSAT) after each solved ticket
- First contact resolution rate
- SLA breaches
- Help centre views and searches with no result
What to Check Before You Commit
- Add a user and a channel in the trial to see how plan limits behave.
- Confirm integrations with your CRM, store and chat tools on the plan you’ll buy.
- Ask what migration help is included for moving from Gmail or another helpdesk.
- Check role-based access, two-factor login and audit logs.
- Confirm data is encrypted and backed up, and that you can export everything if you leave.
- Ask where data is hosted if customers or regulators care about location.
Which Helpdesk Fits Your Team?
| If you are | Start with |
|---|---|
| An Indian SMB wanting rupee pricing | Zoho Desk |
| A team of 2 to 6 on a tight budget | Desku |
| An email-first team that wants simplicity | Help Scout |
| A team that won’t leave Gmail | Hiver |
| A chat-heavy ecommerce or SaaS team | Crisp |
| A team expecting fast growth | Freshdesk or Zendesk |
| An internal IT or ops team | Jira Service Management |
| A technical team avoiding seat fees | FreeScout |
| An Amazon, eBay or Shopify seller | eDesk or Gorgias |
Mistakes Small Teams Make When Choosing a Helpdesk
- Choosing by feature list instead of the two or three channels you actually use.
- Ignoring the price of the plan that includes live chat or WhatsApp.
- Switching on AI without estimating how many questions it can resolve.
- Paying for every employee as an agent when only a few answer customers.
- Skipping a help centre, which is often the cheapest way to cut ticket volume.
