For most Indian small businesses, the best CRM is Zoho CRM if you want a full-featured system at ₹800 a user, TeleCRM if your team sells mainly over phone calls and WhatsApp, and Kylas if you want unlimited users on a free plan to start. Teams that sell to international clients or already use Google Workspace heavily often prefer Freshsales or HubSpot, which bill in US dollars but have cheap entry plans.
The usual global CRM rankings don’t help much here. They rarely ask the questions Indian owners actually care about: does it work with my reps’ SIM calls, can it send WhatsApp follow-ups, does it pull leads from IndiaMART and Facebook, can I pay in rupees with a GST invoice, and what does it cost for five people, not one? This guide compares nine CRMs on exactly those points.
Quick Picks by Situation
| If your team… | Start with | Why |
|---|---|---|
| Wants a complete CRM at a low rupee price | Zoho CRM | ₹800 per user, free for 3 users, Indian pricing and GST invoices |
| Sells mainly by calling and WhatsApp | TeleCRM | SIM-based calling with recording, WhatsApp automation, ₹799 per user |
| Wants many users on a free plan | Kylas | Free Embark plan with unlimited users |
| Needs the CRM, tasks and chat in one tool | Bitrix24 | Flat price for 5 users from ₹1,910 a month |
| Sells to international clients | Freshsales or HubSpot | Polished email and pipeline tools, entry plans around US$9 a user |
| Runs a visual, deal-by-deal pipeline | Pipedrive | Simple pipeline view, built for small B2B teams |
| Is growing past 15 to 20 reps | LeadSquared | Lead distribution and field sales for high-volume teams |
What 5 Users Actually Cost
Most CRMs price per user, a few price per company, and some bill in dollars. This table puts them on the same footing: the entry paid plan for a five-person team, per month, before 18% GST. Dollar prices are converted at an illustrative ₹95.
| CRM | Entry paid plan | Billing | Monthly cost for 5 users | Free plan |
|---|---|---|---|---|
| Bitrix24 | Basic: ₹1,910/month for 5 users (annual), ₹2,990 monthly | INR, per company | ₹1,910 | Yes, limited |
| TeleCRM | ₹799/user/month (annual), ₹1,099 quarterly | INR | ₹3,995 | No |
| Zoho CRM | Standard: ₹800/user/month | INR | ₹4,000 | Yes, 3 users |
| Freshsales | Growth: US$9/user/month (annual) | USD | About ₹4,275 | Yes |
| HubSpot | Sales Hub Starter: US$9/seat/month (annual), US$15 monthly | USD | About ₹4,275 | Yes, 2 users |
| Pipedrive | Lite: US$14/seat/month (annual) | USD | About ₹6,650 | No, 14-day trial |
| Salesmate | Basic: US$23/user/month | USD | About ₹10,925 | No, 15-day trial |
| Kylas | Elevate: flat monthly fee, listed around ₹12,999 | INR, per company | About ₹12,999 (unlimited users) | Yes, unlimited users |
| LeadSquared | Sales Pro: US$60/user/month (annual) | USD | About ₹28,500 | No |
**CRM prices, free plan limits and exchange rates change often, so confirm current pricing on each vendor’s site before buying.
Two things stand out. Per-company pricing (Bitrix24, Kylas) gets cheaper per person as you add people, so Kylas Elevate costs more than Zoho at five users but less at fifteen. And dollar-billed CRMs move with the exchange rate and need an international card, which matters for businesses that prefer UPI or bank transfer.
How We Chose These CRMs
We compared vendor pricing and documentation with independent reviews from Indian business owners and sales teams. We focused on rupee pricing, five-user costs, calling and WhatsApp workflows, local lead sources, mobile access and ease of setup. We did not conduct controlled product tests.
The Best CRMs for Indian Small Businesses
1. Zoho CRM: The Safest All-Round Choice
Zoho CRM is the default pick for good reason. It is priced in rupees, the free edition covers up to 3 users with workflow automation and mobile apps, and the Standard plan at ₹800 per user adds built-in calling, multiple pipelines, mass email, web forms and sales forecasting. GST is charged on top, and yearly plans can be paid by bank transfer, which suits businesses that avoid card payments.
The breadth is also its weakness. Zoho has a lot of settings, and owners without a tech-minded team member sometimes find the first setup heavy. If you mostly need a phone-first lead list for a small calling team, TeleCRM or Kylas will feel simpler. Our Zoho CRM pricing guide breaks down what each tier adds.
| Plan | Price (per user/month, before GST) | Notable additions |
|---|---|---|
| Free | ₹0, up to 3 users | Leads, contacts, deals, workflow automation, mobile apps |
| Standard | ₹800 | Built-in calling, multiple pipelines, mass email, forecasting |
| Professional | ₹1,400 | AI agents, process management, inventory, CPQ |
| Enterprise | ₹2,400 | Multi-team management, approvals, sandbox, field encryption |
2. TeleCRM: Built for Teams That Sell on the Phone
TeleCRM is designed around the way many Indian small businesses actually sell: a rep gets a lead from Facebook, a website form or a listing portal, calls it from their own phone, then follows up on WhatsApp. The app dials from the rep’s SIM, records the call, and logs it against the lead, so the owner can see who called whom and listen to recordings without a separate cloud telephony contract.
Pricing is simple: ₹799 per user per month on annual billing or ₹1,099 on quarterly billing, with up to 10,000 automations a month included and lead capture from more than 15 platforms. WhatsApp automation carries no extra TeleCRM fee, though you pay a one-time ₹1,999 for WhatsApp API setup and Meta’s own message charges, and chat sync is ₹200 per user. There’s no free plan, but TeleCRM offers a full refund within the first 7 days on quarterly and annual plans if you take part in a feedback call.
3. Kylas: Unlimited Users on a Free Plan
Kylas takes a different approach to pricing. Its Embark plan is free for life with unlimited users, contacts, deals, quotations, a mobile app and pre-built reports. That makes it the easiest way to get a whole team using a CRM before spending anything.
The free plan leaves out email, telephony, WhatsApp and workflows, which most growing teams need within a few months. Elevate adds them for a flat monthly company fee rather than per user, listed around ₹12,999 a month, along with 30 workflows, location-based lead routing and more than 70 integrations. Kylas also sells add-ons in rupees for extra workflows, email tracking and storage, which keeps costs predictable once you know what you need. Check the current Elevate price with Kylas, since the pricing page doesn’t show it clearly.
4. Freshsales: Clean Pipeline Tools at a Low Dollar Price
Freshsales, from Chennai-founded Freshworks, has one of the cheapest paid entry points in this list at US$9 per user per month on annual billing for Growth. That includes a Kanban pipeline, contact lifecycle stages, built-in phone, email and chat, and basic workflows. Pro at US$39 adds lead scoring, territory management and sales sequences.
The catch for Indian buyers is that pricing is in US dollars, and Freddy AI is a paid add-on rather than part of the base plans. There’s a 21-day trial with full access, and a free plan for very small teams. It suits B2B companies that sell to international clients and want a polished email-led process more than a calling-led one.
5. HubSpot: The Strongest Free CRM for Two People
HubSpot gives up to 2 users a free CRM with contacts, companies and deals, which is enough for a founder and one salesperson to run a proper pipeline. Sales Hub Starter costs US$9 per seat per month on annual billing or US$15 monthly, and adds email sequences and simple automation.
HubSpot’s real cost appears later. Professional jumps to about US$90 per seat with a one-time US$1,500 onboarding fee, so it’s a CRM that’s cheap to start and expensive to grow into. It fits marketing-led businesses that also want HubSpot’s forms, email and website tools, less so calling-heavy teams.
6. Bitrix24: The Cheapest Way to Get CRM Plus Collaboration
Bitrix24 bundles CRM with tasks, chat, video calls and a document drive, and prices per company rather than per user. Basic covers 5 users for ₹1,910 a month on annual billing (₹2,990 monthly), and Standard covers 50 users for ₹4,790 a month on annual billing. For a small team that wants one tool for selling and internal coordination, that’s hard to beat on price.
Documented user experiences point to a crowded interface with more features than a small sales team needs, and a learning curve to match. Sales automation, invoices and unlimited leads start on Standard, not Basic, so most growing sales teams end up on the ₹4,790 plan. Check whether GST is included in your quote, since the pricing page only says taxes may apply.
7. Pipedrive: A Visual Pipeline for B2B Deals
Pipedrive suits small B2B teams that work a modest number of higher-value deals, such as agencies, IT services firms and consultants. Its pipeline view makes it obvious which deal needs attention next, and the Lite plan starts at US$14 per seat per month on annual billing, with a 14-day trial and no card required.
Email sync with tracking and automation start on Growth at US$39 per seat, which is where most teams land. Pipedrive has no free plan and no rupee pricing, and calling relies on integrations rather than built-in SIM calling, so it’s a weaker fit for high-volume phone sales.
8. Salesmate: Sequences and Calling for Outbound Teams
Salesmate is built for outbound sales: pipelines, email sync and a meeting scheduler on Basic at US$23 per user per month, then sequences, quotes and a team inbox on Pro at US$39. A power dialer and voicemail drop arrive on Business at US$63. There’s a 15-day free trial.
It’s more expensive per seat than Zoho or TeleCRM, and calling and texting are sold as add-ons, so it makes most sense for Indian companies selling to US or international customers through structured outbound campaigns.
9. LeadSquared: When You Outgrow a Small Business CRM
LeadSquared isn’t a starter CRM, but it belongs on this list because many Indian businesses move to it once they pass 15 to 20 sales users. It’s built for high-volume lead distribution across counsellors, branches and field reps, with industry workflows for education, financial services and healthcare. Sales Pro starts at US$60 per user per month on annual contracts, and field tools such as offline mode and geo-fenced check-ins need Sales Super at US$100.
For a small team, that price and the annual commitment are hard to justify. Keep it in mind as the next step rather than the first.
What Indian Small Businesses Should Check Before Buying
Feature lists look similar across CRMs. These are the questions that separate them for an Indian team:
- Calling setup– SIM-based calling (TeleCRM) uses your reps’ existing phones and plans. Cloud telephony (Zoho, Kylas Elevate, Freshsales) needs a virtual number and per-minute charges, but works from a laptop.
- What WhatsApp really costs- Most CRMs connect to the WhatsApp Business API through a provider, so you pay the CRM, sometimes a setup fee, and Meta’s per-message charges. Ask for all three. For broadcast-heavy WhatsApp selling, compare dedicated tools such as Interakt and WATI.
- Where your leads come from– If leads arrive from IndiaMART, JustDial, 99acres, Facebook lead forms or Google Ads, confirm the CRM pulls them in automatically rather than through manual uploads.
- Billing and invoices- Rupee pricing with a GST invoice lets you claim input tax credit. Dollar-billed tools need an international card and are exposed to the exchange rate.
- The Android app– Field and phone-first teams live in the mobile app, so check that it works offline and handles call logging, not just contact viewing.
- Per user or per company– Per-company pricing (Bitrix24, Kylas) rewards adding people. Per-user pricing (Zoho, TeleCRM, Freshsales) is cheaper for very small teams.
Free CRM Options for Indian Small Businesses
| CRM | Free plan limit | What’s missing |
|---|---|---|
| Kylas Embark | Unlimited users, record cap | Email, telephony, WhatsApp, workflows |
| Zoho CRM Free | Up to 3 users | Built-in calling, multiple pipelines, mass email |
| HubSpot Free CRM | Up to 2 users | Sequences, automation, reporting depth |
| EngageBay Free | Up to 15 users, 250 contacts | Contact cap is tight for active selling |
| Bitrix24 Free | Small teams, 5 GB storage | Telephony, sales automation |
| Freshsales Free | Very small teams | Advanced workflows, sequences, AI |
A free plan is a good way to get the team into the habit of logging leads. Most growing businesses move to a paid plan within a few months, usually for calling, WhatsApp or automation, so check what the first paid tier costs before committing.
Which CRM Fits Your Business Type
Industry matters as much as team size. A real estate team needs site-visit tracking and project inventory, a coaching institute needs an admissions pipeline and fee follow-ups, and a distributor needs order capture over WhatsApp. TeleCRM and Kylas both list real estate and education as core markets, and LeadSquared is the established choice for larger education and financial services teams. If you also handle inbound calls you can’t always answer, an AI receptionist can capture those leads into your CRM.
