Best AI Note Takers and Meeting Assistants in 2026 (Free and Paid)

Best AI Note Takers and Meeting Assistants

An AI note taker records your meetings, writes the transcript, and turns an hour of conversation into a summary with decisions and action items. The best AI note takers in 2026 do this for free on Zoom, Google Meet and Microsoft Teams. Where they differ is in whether a bot joins your call, how many meetings the free plan really covers, which languages they handle, and what happens to the recordings afterwards.

This guide compares six well-known AI meeting assistants (Fathom, Fireflies, Otter, tl;dv, Granola and Notta) with five underrated and newer ones. It also covers the note-taking now built into Meet, Zoom and Teams, which AI note taker to use for Hindi and Hinglish meetings, and the consent rules every user should know.

Which AI Note Taker Is Best?

Fathom is the best free AI note taker for most people, with unlimited recording and transcription on its free plan. Fireflies is the best AI meeting assistant for sales teams that need CRM sync and Hindi auto-detection. Otter is strongest for live transcription in English. Granola is the best bot-free AI note taker if you don’t want a recorder visible in the call.

The Best-Known AI Note Takers

1. Fathom

Fathom’s free plan is the most generous in the category. It records and transcribes an unlimited number of meetings and adds instant summaries, clips and search, while most rivals cap free minutes. It works on Zoom, Google Meet and Teams, and it added a bot-free recording mode in 2026 for calls where a visible recorder feels awkward. Some advanced AI features, such as richer summaries and action items, sit in the paid plans.

Fathom changed hands this year. Superhuman, the company formerly known as Grammarly, announced on 14 September 2026 that it had acquired Fathom and plans to build its note-taking into Superhuman’s email, calendar, documents and AI agents. Fathom’s CEO said existing customers keep the same app, login and experience. It’s worth watching how the free plan evolves under the new owner, but nothing has changed yet.

2. Fireflies

Fireflies is the AI meeting assistant to choose when notes need to flow into other tools. It integrates with dozens of apps, including CRMs, Slack and Notion, and it can log call summaries and action items straight into a deal record. If your team runs on HubSpot CRM, Zoho CRM, Pipedrive or Freshsales, check which integrations each plan includes before you buy.

The free plan includes unlimited transcription, limited AI summaries, 400 minutes of team storage and 20 AI credits. Pro costs $10 per seat a month on annual billing. Fireflies supports Hindi among its 100-plus languages and detects the language automatically, which makes it the most practical big-name AI note taker for Indian teams.

3. Otter

Otter was one of the first AI note takers, and it’s still strong at live transcripts you can read and search while the meeting is running. The free plan covers 300 minutes a month, with a 30-minute limit per conversation, and Pro starts at $8.33 a month on annual billing. Otter supports only a handful of languages and has no Hindi, so it suits English-speaking teams.

Otter is also defending a consolidated class action in the US over how its notetaker records meeting participants. Four suits filed in August and September 2025 were combined into In re Otter.AI Privacy Litigation in the Northern District of California. They allege that the bot recorded people without the consent of every participant. Otter disputes the claims and has argued that no unlawful interception took place. On 13 August 2026, the judge allowed the core privacy claims to proceed to the next stage. That decision found the claims plausible enough to continue, and no court has ruled that Otter’s practices are illegal. Otter’s terms place responsibility for getting consent on the account holder, which applies to every AI note taker covered here.

4. tl;dv

tl;dv records video as well as audio on its free plan, which most AI note takers don’t. It’s built around timestamps and shareable clips, which suits customer research and sales enablement, and it handles more than 30 languages, including mixed-language meetings. The catches are on the free plan. Free accounts get only 10 AI summaries for the lifetime of the account, and free recordings are deleted after three months. Pro removes both limits for $18 per user a month on annual billing.

5. Granola

Granola takes a different approach. Instead of sending a bot into the call, it listens to your device’s audio and combines the transcript with the notes you type yourself, so the summary reflects what you thought mattered. Nothing appears in the attendee list, which makes it popular for interviews, investor calls and client meetings. It runs on Mac and Windows and works with Zoom, Meet, Teams, Slack huddles and in-person conversations. The free plan includes unlimited meeting notes with limited history, and Business costs $14 per user a month.

6. Notta

Notta, a Tokyo-based company, supports transcription in 58 languages and translation into dozens more, with a bilingual mode for meetings that mix two languages. It also handles uploaded audio and video files, which suits lectures and recorded interviews. Hindi is supported, but you select the language before recording, which works less well for Hinglish meetings. The free plan is the tightest here, at 120 minutes a month and three minutes per recording.

Underrated and New AI Note Takers Worth Trying

These AI note takers get far less attention than Fathom or Otter, but each one solves a specific problem.

7. Read AI

Read AI is the AI meeting assistant for people who want feedback on how they present, not just notes. Its free tier includes meeting coaching that tracks talk time, pace and engagement, which is rare among free plans.

8. Jamie

Jamie is a privacy-first AI note taker that records directly from your device, with no bot joining the call. It suits regulated work and anyone whose clients object to recorders.

9. Tactiq

Tactiq runs as a browser extension that turns live captions into a transcript and AI notes, with no bot in the meeting. It’s a lightweight choice for Google Meet users who want notes without installing a desktop app.

10. Meetily

Meetily is an open-source meeting assistant that processes recordings on your own computer rather than in the cloud. It’s the most private option on this list, as long as you’re comfortable setting it up yourself.

11. Noter AI

Noter AI detects Hindi automatically on every recording, so Hinglish meetings don’t need a language chosen in advance. It can also produce Hindi notes from an English meeting and the other way round. These are the company’s own claims, so test it on a real meeting first.

Built-In Meeting Assistants in Google Meet, Zoom and Teams

You may already pay for an AI meeting assistant without realising it. Google Meet can take notes with Gemini on eligible Google Workspace and Google AI plans, saving a summary to Google Docs after the call. Zoom’s AI Companion comes with paid Zoom plans, and Microsoft Teams offers meeting recaps through Copilot. Our ChatGPT vs Gemini comparison explains which Google AI plans include Gemini features.

Built-in assistants are convenient and keep data inside a platform you already use. A standalone AI note taker earns its place when your meetings run across several platforms, when you need CRM sync, or when you want one searchable archive of every call.

Which AI Note Taker Works Best for Hindi and Hinglish Meetings?

Most Indian meetings switch between Hindi and English mid-sentence, and this is where many AI note takers struggle. Language detection matters as much as the language list.

AI note takerHindiHow it handles mixed Hindi and English
FirefliesYesDetects the language automatically
Noter AIYesDetects automatically on every recording
NottaYesYou pick the language before recording, so mixed meetings are less reliable
tl;dvListed among 30+ languagesSupports mixed-language meetings, but test with Hinglish
OtterNoEnglish-focused

Whichever you choose, run a test on a real recording with your team’s accents, product names and Hinglish before relying on the notes for client work.

Yes, and the responsibility usually sits with you, not the tool. Many US states require every participant to agree before a conversation is recorded, and that consent question is at the centre of the Otter litigation. In India, the Digital Personal Data Protection Act treats recordings and transcripts of identifiable people as personal data, so announce the recording and give people the option to object.

A few habits keep you on safe ground:

  • Announce the AI note taker at the start of the call.
  • Turn off automatic joining for meetings you didn’t organise.
  • Don’t record calls involving health, legal or financial details without explicit agreement.
  • Check where the vendor stores recordings and whether it uses them to train its models.
  • Delete recordings you no longer need.

Bot or No Bot: Which Type of AI Meeting Assistant Fits You?

Bot-based AI note takers (Fathom, Fireflies, Otter, tl;dv, Notta, Read AI) join the call as a participant. That makes recording visible to everyone and works even if you leave early. The downside is that some clients find a bot off-putting, and it can join meetings you didn’t intend to record if calendar auto-join is on.

Bot-free AI note takers (Granola, Jamie, Tactiq, Meetily, and Fathom’s newer mode) capture audio from your own device or browser. They’re quieter and often more private, but you have to stay in the call, and you still need to tell people you’re taking AI notes.

How to Choose the Right AI Note Taker

  • If you want the most free usage, start with Fathom.
  • If your team sells and needs notes in the CRM, choose Fireflies, which is also the safest bet for Hindi.
  • If you mostly need live English transcripts to read during the call, Otter does that best.
  • If you share video clips of customer calls, tl;dv’s free plan is the one that records video.
  • If a visible bot would make your clients uncomfortable, use Granola or Jamie.
  • If privacy matters more than convenience, try Meetily, which keeps everything on your machine.
